School Education Gateway is an initiative of the European Union. It is funded by Erasmus+, the European programme for Education, Training, Youth and Sport. It is steered by the European Commission and implemented by its Education, Audiovisual and Culture Executive Agency (EACEA).

On behalf of the European Union, EUN Partnership AISBL (known as European Schoolnet, from here on EUN) maintains this website to promote its initiatives to the public. The material on this website is for information only.

Our goal is to keep this information timely and accurate. If errors are brought to our attention, we will try to correct them. However, the EC, EACEA and EUN accepts no responsibility or liability with regard to the information on this site.

The following statement explains our policy regarding the personal information we collect about you.


School Education Gateway is an initiative of the European Union. It is funded by Erasmus+, the European programme for Education, Training, Youth and Sport. It is steered by the European Commission (the EC) and implemented by its Education, Audiovisual and Culture Executive Agency (the EACEA). The School Education Gateway platform is run by a service provider, EUN Partnership AISBL (EUN), under a specific service contract with the EACEA.

The School Education Gateway platform is dedicated to respecting the privacy of its users. Its intention is to provide a secure and safe environment for all users. The following statement outlines the policies by which the School Education Gateway platform collects, manages and uses the data provided by its users. Use of the School Education Gateway platform indicates you have read these policies and agree to abide by them.

1. Online submission forms 

As the School Education Gateway platform collects and further processes personal data, it is subject to Regulation (EC) 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the European Community institutions and bodies and on the free movement of such data (OJ L8 of 12.1.2001, p. 1.).
The various tools present on the School Education Gateway platform allow users to submit information in order to participate to the website activities. When registering online and submitting other information, the data is collected and further processed for the purposes detailed hereafter under point 2. The relevant processing operations thereof are under the responsibility of the Data Controller, which is the Head of Unit A5 - Vocational Training, Adult Education, Platforms at the EACEA.

2. What personal information do we collect, for what purpose and through which technical means?

(a) Personal information: The personal data collected on the School Education Gateway platform include:

  • First name
  • Last name
  • Email
  • User type
  • Country

In addition, optional personal information is collected for the member profile and a registrant can decide whether to give that data or not. The optional information entails:

  • Image

Furthermore, members can get affiliated to one or several organisations. To create a profile for an organisation, the following data is collected (the items marked with * are obligatory)

  • Organisation name*
  • Address*
  • City*
  • Postal code*
  • Country*
  • Region*
  • Type*
  • Description
  • PIC (Participant Identification Code)*
  • Contact person*
  • Website
  • Facebook URL
  • Twitter URL
  • Lindkedin URL
  • Image

(b) Information from Participation in online courses: The School Education Gateway offers users the opportunity to participate in an online course on or through the portal. If you desire to participate in a course, you will be asked to provide us with certain information necessary to conduct such a course. This information may include, among other things, your name and email address.
If you participate in an online course, we may collect from you certain student-generated content, such as assignments you submit, peer-graded assignments and peer grading student feedback. We also collect course data, such as student responses to quizzes, forum entries and surveys.

(c) Information from forums and other online communication tools: The School Education Gateway may offer public forums (or similar communication tools such as Padlet or Tricider) as part of its online courses. These forums can be on the portal or they can be embedded or linked to from the portal. On the forums you can share comments, thoughts, photos, videos and other resources. In order to participate in a communication tool, you may be required to register with us and/or a partner site and provide personally identifiable information such as your name and email address.
Please keep in mind that information you post or make available in forums and other discussion tools will be publicly visible on the School Education Gateway portal and in some, rare cases even outside of the portal. Accordingly, you should be careful when posting any personal or sensitive information and ensure you have the relevant permissions to share any resources. (d) Information from surveys: We may receive personally identifiable information when you provide information in response to a survey operated by us.

(e) Information from Third Party Sites: We may receive personally identifiable information when you access or log-in to a third party site that displays information on our site, e.g. Twitter or Tricider. This may include the text and/or images available from the third party site. We may also receive personally identifiable information from a third party site if you log-on using the authorization mechanism of the third party site, e.g. Google or Facebook.
Partner sites providing online course related tools and services such as online quizzes, peer-marking mechanisms or social media functionality to the School Education Gateway users may also collect personally identifiable information regarding the individual's use of that partner site while engaged with such online course related activities. The partner sites may share that data with the School Education Gateway for the purpose of improving School Education Gateway's services, the partner site's services, and the individual's education experience. This data includes information such as the amount of time spent on the partner site and pages viewed.

(f) Other data: Members may also choose to post comments or listings under the Erasmus+ Tools (Course Catalogue, Mobility Opportunities and Strategic Partnerships). In these cases, members can submit information for the purpose of publishing their comments or listings. The Terms and Conditions for posting a listing under Erasmus+ Tools are explained here.
In addition, information such as a user's IP address, internet service provider (ISP), web browser, operating system, approximate times of use, referring site, specific user interactions with the systems functionality and any similar data exchanged between a user's computer and the servers of the School Education Gateway platform will be collected. These will not be linked to specific user accounts except as indicated below.
Finally, aggregated statistics will be collected regularly, including, but not limited to, the number of users during a specific period, courses chosen by users, and account usage.

3. How do we use the information we collect?

The storage, processing and displaying of data is necessary to:

  • Allow registrant to post comments and listings;
  • Enrich registrant profile;
  • To allow School Education Gateway registrants to communicate and collaborate in the spirit of mutual trust and respect;
  • Send the users updates (i.e. newsletter) related to School Education Gateway and eTwinning, and to inform users of other related activities he or she might be interested in within School Education Gateway or eTwinning; and,
  • Allow and facilitate monitoring and research activities.
  • Allow users to contribute to the School Education Gateway online courses through rating, comments, bookmarks, tagging, completing quizzes and uploading their own resources;
  • Enable and improve the user experience within this and similar projects via access control, tracking usage frequency, search behaviours, preferences and settings;
  • Inform the user of learning resources and activities he or she might be interested in and about any developments and updates related to the School Education Gateway;
  • Allow for collection, categorization and summary of user contributions in the forums and other discussion tools.

Aggregated statistics are collected regularly, including, but not limited to, the number of users during a specific period, the preferred subjects and/or countries chosen by members and account usage. In an effort to maximise user experience, the School Education Gateway portal may keep track of user frequency, habits, preferences and settings.

 a) Information from participation in online courses: We use the personally identifiable information that we collect from you when you participate in an online course through the portal for processing purposes, including but not limited to tracking attendance, progress and completion of an online course. We may also share your personally identifiable information and your performance in a given online course with the instructor or instructors who taught the course, with teaching assistants or other individuals designated by the instructor or instructors to assist with the creation, modification or operation of the course, and with the institution or institutions with which they are affiliated. Also, we may archive this information and/or use it for future communications with you.

 b) Information from forums and other online communication tools: To facilitate your use of the forums and communication tools, we may use personally identifiable information collected during your use of the forums and communication tools. In addition, we may publish this information via the portal or third-party extensions in order to present and summarize outcomes of a course.
We also reserve the right to reuse and reference posts in forums and communication tools containing personally identifiable information in ongoing and future versions of the courses we offer, and to enhance future course offerings. We may archive these posts and/or use it for future communications with course participants. We may also use or publish posts submitted on the forums without using personally identification information. Any contributions shared by the users, unless specified otherwise, will be licensed in the same way as all other course materials using a Creative Commons Attribution Share-Alike License. This means any user contributions can be re-used and adapted, even for commercial purposes, as long as the original source is credited and the material is published using the same license. For example, lesson plans or learning diaries prepared by users and submitted as part of the courses, unless specified otherwise by the user, would fall under this license.

 c) Information for research: We may use and share general course data (including quiz or assignment submissions, grades, and forum discussions), information about your activity on our portal, and demographic data from surveys operated by us with our partners so that our partners may use the data for research related to online education. Any data shared with our partners will be fully anonymised.

 Data related to users’ behaviour within the various areas of the School Education Gateway platform may be used only for the purpose to carry out research and monitoring by the EACEA, the EC EUN and authorities in charge of implementing School Education Gateway and other third parties (for instance, duly authorised research centres and universities). All usage of data by the actors mentioned above must be communicated to the Data Controller, which reserves the right to deny authorisation to such use.
Data shall not be processed for any other purpose. The legal basis for these processing operations of personal data is listed under point 9.

4. Who has access to your information and to whom is it disclosed?

Access to the data is allowed to:

  • EACEA, the European Commission, service provider:full set of data.

 The transfer of specific data to other third parties (e.g. research centres and universities) can be permitted under specific authorisation of the Data Controller. Whenever possible, data will be processed in an anonymous way, especially if transferred to third parties for research purposes.

Personal data will never be used for marketing purposes.

Some data submitted by users will be displayed on the public area of the School Education Gateway portal, which means that such data is freely accessible on the Internet. In particular:

  • Registrant data: first name, last name, member type, country, picture, organisation, comments made by the registrant, articles favorited by the member, and if the registrant is eTwinning verified. Reviews, ratings, and listings posted by a registrant under the Erasmus+ Tools.
  • Organisation data: name, address, city, country, picture, Facebook URL, Twitter URL, LinkedIn URL and website. Registrants affiliated to the organisation. Courses, Mobility Opportunities and Strategic Partnership listings posted by the members of the organisation.

5. How do we protect and safeguard your information?

The collected personal data and all related information are stored on secured servers of the service provider (EUN). The operations of EUN’s computer centres contractually comply with the European Commission's security directives and provisions established for these kinds of servers and services.

6. How can you verify, modify or delete your information?

In case you wish to verify which personal data is stored on your behalf by EUN, or have it modified or corrected, you may do this yourself online. The password you set during registration will allow you to log in and update your personal information. Users can ask to deactivate their profile at any time (please see below under point 9).

7. How long do we keep your data?

Data related to statistics and research purposes is kept for the entire duration of School Education Gateway in an aggregated, anonymous format.
Data related to the profile of the user, as described in point 2, are kept for three years after the user's last login. After three year from the last login, the user profile will automatically be set to inactive, i.e., no longer visible to other users or the outside world. A notification is sent to the user to inform her/him that her/his profile has been set to inactive and that he/she can re-activate his/her account by logging in again within two weeks. If the user does not login within two weeks, his/her profile will be deactivated permanently. All personal information is then made anonymous.
In case users ask for the deactivation of their profile or the profile is automatically deactivated, no data will be visible to other School Education Gateway users. Data will be kept only in an anonymous form that does not allow for personal identification. If users with a deactivated profile want to continue using the platform, they will need to register again. The data remain solely for research and monitoring purposes at the disposal of the EACEA, the EC, national or regional school authorities, authorities in charge of implementing School Education Gateway and other third parties (see point 3) under the authorisation of the Data Controller in an aggregated format.

8. Cookies

To make this site work properly, we sometimes place small data files called cookies on your device. Most big websites do this too.

What are cookies?

A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. It enables the website to remember your actions and preferences (such as login, language, font size and other display preferences) over a period of time, so you don't have to keep re-entering them whenever you come back to the site or browse from one page to another.

How do we use cookies?

On our site, we only use a very limited number of cookies:

  • User preferences: These cookies help to improve a user's experience of a website by providing a more personalised service, without having to ask you every time again; more specifically, an automatic server cookie that stores a limited number of user preferences, such as language and session id.
  • Analytics: Google Analytics is a web analytics tool that uses cookies to track visitor interactions, helping website owners understand how visitors engage with their website. Google Analytics customers can view a variety of reports about how visitors interact with their website so that they can improve it. Google Analytics collects information anonymously. It reports website trends without identifying individual visitors. How to control cookies?

You can control and/or delete cookies as you wish – for details, see aboutcookies.org. You can delete all cookies that are already on your computer and you can set most browsers to prevent them from being placed. If you do this, however, you may have to manually adjust some preferences every time you visit a site and some services and functionalities may not work.

10. Recourse

11. Legal basis

The main legal basis of the processing of personal data is:

(a) Article 4 of Commission Decision 2009/336/EC of 20 April 2009 setting up the Education, Audiovisual and Culture Executive Agency for the management of European Community action in the fields of education, audiovisual and culture in application of Council Regulation (EC) No 58/2003 (OJ L 101 of 21.4.2009, p. 21.);

(b) The Lifelong Learning Programme action (2007-2013) established by the Decision 1720/2006/EC of the Parliament and of the Council of 15 November 2006 (OJ L 327 of 24.11.2006, p. 45.).
